Terms of Use (When Registering)

1. Introduction

These terms and conditions apply to delegate registrations for "Public Training Courses" organised by Finance Xplained. Please read them carefully as they contain important information. By submitting your registration you agree to be bound by these terms to the exclusion of all other terms. If you do not agree to these terms, Finance Xplained cannot accept your registration.

2. Registration

Your registration is an offer to Finance Xplained to attend a Public Training Course which is subject to our acceptance. A binding contract between Finance Xplained and you will only be formed when written/email confirmation of acceptance ("Confirmation" or "Confirmed") is sent by Finance Xplained to you using the contact details you provided at the time of registration. Finance Xplained reserves the right in its sole discretion to refuse to accept your registration.

3. Cancellation Policy

Cancellation requests must be made in writing (email or letter) and reach our office 30 days before the course commencement date.

  • If you cancel more than 30 days before the course, an administration fee of 100 Euro + VAT will be charged.
  • Delegates who cancel less than 30 days before the course commencement date, or who do not attend, are liable to pay the full course fee and no refunds will be granted.

4. Delegate Substitution/Replacement

Substitutions with employees from your organisation are welcome. A request should be submitted in writing and received by Finance Xplained no later than 5 days before the start of the Public Training Course. In all other respects delegate registrations are issued for personal use only and may not be shared with anyone during the course.

5. Flights and Accommodation

Flights and hotel accommodation should only be purchased when the course has been confirmed by FinanceXplained. The attendee is solely responsible for their flight and accommodation arrangements and costs. In the unlikely event that Finance Xplained has to cancel an event, Finance Xplained is not responsible for any costs incurred by delegates. Finance Xplained therefore recommends that clients purchase fully refundable air tickets and hotel accommodation.

6. Transfer to Different Course Dates

If you wish to transfer to a different course date within a 2 month period, you will be charged an additional 100 Euro to transfer your registration. No additional charges will apply if you send a substitute delegate for the booked course.

7. Payment Terms

Payment for the Public Training Course must be received in full by Finance Xplained, in accordance with our payment terms, not later than 48 hours before the Public Training Course. If payment in full is not received before the course, Finance Xplained may (at its sole discretion) require payment as a condition of your attendance or refuse entry. No refund will be made and a balance of fees remains due and payable where entry to a Public Training Course is refused.

8. Early Booking Discount

All discounts are applied at the time of registration and are subject to Finance Xplained approval. Discounts for group registrations are only valid for the number of delegates specified. If the number of delegates who actually attend the course (for whatever reason) is less than the number stated on the registration form, Finance Xplained may (at its sole discretion) adjust the fees charged.

9. Course Price and Fees

Prices for each Public Training Course are correct at the time of publication. Finance Xplained reserves the right to change the prices at any time but changes will not affect registrations which have already been confirmed.

10. VAT

All prices are quoted VAT Excluded. If any country requires specific taxes, then all or part of the amount of the payment shall be increased by an amount necessary to offset the taxes.

11. Course Format

Finance Xplained may (at its sole discretion) change the format, speakers, participants, content, venue location and programme or any other aspect of the Public Training Course at any time and for any reason whether or not arising out of a Force Majeure Event and without liability.

12. Course Dates and Location

Finance Xplained may (at its sole discretion) change the date of or cancel a Public Training Course at any time and for any reason. Where Finance Xplained changes the date for any reason or cancels the Public Training Course, other than as a result of a Force Majeure Event, Finance Xplained shall offer you the option of attending any re-arranged course. If you choose not to attend the re-arranged Public Training Course (and notify us in a timely manner) or if we do not organise such a course, you shall (as your sole remedy) be entitled to receive at our discretion either a credit note or a refund in respect of registration fees we have received.

13. Force Majeure

Where a Force Majeure Event (at Finance Xplained’s sole discretion) has an adverse impact on Finance Xplained’s ability to hold the Public Training Course at the scheduled venue or on the scheduled date, Finance Xplained shall be entitled (at its sole discretion) but not obliged to provide alternative facilities or venue for the Public Training Course; and/or to re-schedule the Public Training Course. To the fullest extent permitted by applicable law, Finance Xplained shall not be liable for any loss, delay, damage or other liability that arises out of the cancellation or change of date of the Public Training Course however arising or a change of venue.

14. Governance

Finance Xplained may (at its sole discretion) refuse admission to, or eject from the Public Training Course, any person who fails to comply with these terms, who poses a security risk, who is a nuisance or annoyance in the delivery of the Public Training Course. You agree to comply with all reasonable instructions issued by Finance Xplained, the trainers or the owners of the venue where the Public Training Course is taking place.

15. Audio and Visual Material

All unauthorised photography and the recording or transmitting of audio or visual material, data or information of and during the Public Training Course is expressly prohibited.

16. Privacy and Personal Information

The personal information which you provide to us will be held by us on a database and shall not be distributed to third parties.

17. Liability

To the fullest extent permitted by applicable law, Finance Xplained excludes: (a) all liability for any loss, injury or damage to persons or property at the Public Training Course; (b) all warranties, conditions and terms (whether express or implied); and (c) all liability for any actual or alleged indirect or consequential loss or damage of any nature whatsoever, howsoever caused, suffered by you or any loss of profits, anticipated profits, savings, loss of business revenue, loss of business, loss of opportunity, loss of goodwill or any other type of economic loss (whether direct or indirect). If Finance Xplained is for any reason liable to you, Finance Xplained’s total liability to you in connection with the Public Training Course (whether arising under these terms or otherwise) is limited to the amount of the registration fees which you have paid to Finance Xplained.

18. Investment Advice

Finance Xplained does not constitute or provide any advice in connection with an offer to purchase or sell or a solicitation of an offer to purchase or sell any securities or financial instruments or any investment advice. Investments are an individual or a corporate management decision and prospective investors should undertake such investigations as the investor deems necessary. Delegates should seek their own legal, accounting and tax advice in order to make an independent determination of the suitability and consequences of an investment in securities.

19. Changes to Terms and Conditions

Finance Xplained reserves the right to amend these terms from time to time. You will however be subject to the terms in force at the time you submit your registration.

20. Applicable Law

These terms and conditions are governed under Belgian Law and disputes shall be subject to and contested under Belgian Law and the competence of the Belgian courts.

2. What Personal Data Do We Collect?

We collect and process the following personal data when you register for a course, newsletter or contact us:

  • Identification data: first name, last name, job title
  • Contact details: email address, phone number, postal address
  • Company details: company name, VAT number, address
  • Financial data: invoicing details (no credit card data is stored)
  • Course data: selected courses, attendance, course materials
  • Feedback and evaluations: your opinions about the course and our services
  • Technical data: IP address, browser type, pages visited (via Google Analytics)

3. Why Do We Process Your Data?

We process your personal data for the following purposes:

  • Performance of contract: process registration, organize courses, invoicing, communication about your course
  • Legal obligation: accounting and tax obligations (retention of invoices for 7 years)
  • Legitimate interest: improving our services, quality control, internal analysis, securing our systems
  • Consent: sending newsletters, use of your testimonial in marketing, market research

4. Legal Basis for Processing

We process your personal data based on:

  • Article 6(1)(b) GDPR: Performance of contract (course registration and delivery)
  • Article 6(1)(c) GDPR: Legal obligation (accounting legislation, VAT administration)
  • Article 6(1)(f) GDPR: Legitimate interest (quality improvement, security)
  • Article 6(1)(a) GDPR: Your explicit consent (newsletter, marketing, testimonials)

You may withdraw your consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.

5. How Long Do We Retain Your Data?

We do not retain your personal data longer than necessary for the purposes for which they are processed:

  • Course registrations and invoicing: 7 years (statutory accounting retention obligation)
  • Newsletter subscriptions: until you unsubscribe or 3 years after last interaction
  • Marketing consent: 3 years after last contact, unless you withdraw consent earlier
  • Contact requests: 2 years after completion
  • Google Analytics data: 26 months (automatically deleted)

After these periods expire, your data will be permanently deleted or anonymized.

6. With Whom Do We Share Your Data?

We only share your personal data when necessary:

Processors (service providers acting on our behalf):

  • Google Analytics: Website analysis (anonymized, see section 7 for cookies)
  • Email provider: For sending newsletters and course communications
  • Accounting firm: For financial administration
  • Hosting provider: For database storage

Legal obligation:

  • Government agencies: When legally required (e.g. tax administration, court order)
  • Accountants and auditors: For statutory audits

We NEVER sell your personal data to third parties for marketing purposes.

All processors are contractually obliged to protect your data in accordance with GDPR and may only use your data for the purposes we have determined.

7. Cookies and Tracking

Google Analytics

We use Google Analytics to analyze website usage and improve our website. Google Analytics places cookies and collects information such as:

  • Which pages you visit
  • How long you stay on our website
  • Through which website you reached us
  • Which links you click

This data is processed anonymously. We have entered into a processor agreement with Google and have chosen the following privacy-friendly settings:

  • IP addresses are anonymized (last octet removed)
  • Data sharing with Google is disabled
  • We do not use other Google services in combination with Google Analytics cookies

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • Appropriate technical and organizational security measures

9. Your Rights under GDPR

We will respond to your request within 1 month. In complex cases, we may extend this period by a maximum of 2 months, of which we will inform you.

Identification: To prevent abuse, we may ask you to prove your identity before we process your request.

10. Filing a Complaint with Supervisory Authority

If you believe we are not processing your personal data correctly, you can always contact us. You also have the right to file a complaint with the Belgian supervisory authority:

11. Security of Your Data

We take the security of your personal data very seriously and have taken appropriate technical and organizational measures to protect your data against:

  • Unauthorized access
  • Loss or destruction
  • Unlawful processing
  • Unintended alteration

Our Security Measures:

  • Access control: Only authorized personnel have access to personal data
  • Encryption: Sensitive data is encrypted in storage
  • SSL/TLS: Secure connection for data transfer via our website
  • Regular backups: To prevent data loss
  • Staff training: All our staff are aware of privacy procedures
  • Processor agreements: All external processors are contractually obliged to security

Note: Internet email is never completely secure. By using email, you agree to send information at your own risk. We recommend not sending confidential information (such as passwords or financial data) via unencrypted email.

Data Breaches

In the unlikely event of a data breach that poses a risk to your rights and freedoms, we will notify you within 72 hours and inform the Data Protection Authority, in accordance with Art. 33-34 GDPR.

12. Automated Decision-Making and Profiling

We do NOT use automated decision-making or profiling that has legal effects for you or similarly significantly affects you.

13. Links to Third-Party Websites

Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of these external websites. We recommend reading the privacy policy of these websites before providing personal data.

14. Minors

Our services are aimed at professional business clients and not at persons under 16 years of age. We do not knowingly collect personal data from minors. If you suspect we have accidentally collected data from a minor, please contact us.

15. Changes to This Privacy Policy

We reserve the right to amend this privacy policy from time to time, for example due to changes in legislation, our services or new technologies.

The most current version is always available on this page. We will make significant changes known via:

17. Applicable Law and Disputes

Belgian law applies to this privacy policy. Any disputes arising from or related to this privacy policy shall be submitted to the competent courts of the judicial district of East Flanders, Oudenaarde division.

Government Grants & Subsidies

Belgian Government Subsidies

If your company is a small or medium-sized enterprise (SME) based in Flanders or Brussels, you can receive a subsidy on the course registration fee.

These subsidies are granted by the Belgian regions:

  • Flemish Region: KMO-portefeuille
  • Brussels-Capital Region

IMPORTANT: From February 1, 2026, advice via the KMO-portefeuille has been abolished, except for cybersecurity advice. Training courses remain fully available.

Flanders Region: KMO-portefeuille (Training)

If you work for a Flemish SME, you can use the KMO-portefeuille subsidies to fund part of your training costs. Depending on the size of your company, you can apply for a KMO-portefeuille subsidy of up to €7,500 per year, subsidized by the government.

Small companies: < 50 FTE and < €10,000,000 Turnover or < €10,000,000 Assets

30% of the training can be subsidized (max. €7,500/year)

Medium-sized companies: < 250 FTE and < €50,000,000 Turnover or < €43,000,000 Assets

20% of the training can be subsidized (max. €7,500/year)

Enhanced support percentage:

For specific themes (cybersecurity & energy efficiency):

  • Small companies: 45% support
  • Medium-sized companies: 35% support

How to Apply for the KMO-portefeuille?

  • First register, then apply for a subsidy: your subsidy application must be completed within 14 calendar days after the training start date. It is useful to know that you can make the subsidy application without having received the invoice yet. So you don’t have to wait for that.
  • Costs for catering can receive a maximum subsidy of €25 per person per day. Course materials and other costs are not subsidized.

Brussels-Capital Region: Training Grant

Self-employed or SME located in one of the 19 Brussels boroughs? You can apply for subsidies with the Brussels-Capital Region.

  • Maximum 3 training courses per calendar year per organization
  • Per training course 40-70% of the training costs can be subsidized (max. €3,000 per course)
  • The training costs at least €1,000
  • First register, then apply for a subsidy (preferably before the start, at the latest 30 calendar days after the start date)
